Terms and conditions

These terms and conditions govern the contractual relationship between Intonor ApS (referred to as "Intonor") and the client (referred to as the "Client") regarding the provision of individual services or complete "travel packages." These terms and conditions apply specifically to contracts with commercial customers who market travel services as tour operators and directly engage with their customers. The Client's terms and conditions are not applicable to Intonor, even if the Client attempts to assert their terms and conditions as valid. The legal relationship with the Client is subject to the terms and conditions, transportation conditions, and tariff provisions of service providers such as airlines, transportation companies, ticket agencies, and hotels, regardless of whether Intonor has notified the Client of their validity.


Booking
A booking becomes valid only upon written confirmation by both parties. Until then, all proposals, offers, and information regarding availability are non-binding for Intonor and provided free of charge to the Client. Intonor's written confirmation often depends on the final confirmation or allocation of the requested cabin categories by ferry companies. Any changes, additions, assurances, or collateral agreements made after the contract's conclusion must be in written form. Intonor is responsible for promptly informing the Client about significant changes to the services.

Participant List
To ensure a smooth trip, we require a participant list containing the full names and dates of birth of all participants, as well as the driver and tour guide, along with the desired room and cabin distribution. This information must be provided to us four weeks prior to the trip's start. For trips involving overnight ferry crossings, we also need the passport or ID numbers of all participants.


Payment / Deposit
The invoice amount must be received by us no later than 14 days before the trip's start for the travel documents to be sent. Depending on the invoice amount and the number of booked trips, a deposit may be required at the beginning of the season. The Client has the option to provide security at their own expense through an irrevocable, unconditional, and indefinite bank guarantee from a commercial bank or savings bank.

Complimentary Seats
For all catalog trips to Scandinavia and the Baltics, Intonor offers one complimentary single room for the first 15 paying participants, and an additional complimentary place per paying participant number 35. If the Client wishes to book and include a single cabin (or single compartment on overnight trains) for the driver or tour guide, any surcharges should be considered and included in the calculation. If single rooms are not utilized, complimentary places will be allocated in double rooms/double cabins. Different regulations apply for Iceland, which will be specified in the respective confirmation.


Cancellation
Cancellation of entire groups is free of charge up to 31 days before the start of the trip, unless stated otherwise in our confirmation. In case of cancellation after the cancellation deadline, we reserve the right to charge up to 95% of the full travel price to cover costs incurred by our service providers. These cancellation conditions also apply in the event of circumstances such as flight strikes, war or war-like events, epidemics, natural disasters, travel restrictions in both the country of origin and the destination. For individual cancellations, the following conditions apply: From the date of cancellation up to 22 days before the start of the trip, a cancellation fee of 25% is applicable; from the 21st to the 15th day before the start of the trip, 50%; from the 14th to the 4th day before the start of the trip, 75%; and from the 3rd day before the start of the trip until 95%. Please note that different cancellation deadlines and conditions may apply for trips on Hurtigruten/Havila Kystruten, and we will provide you with the updated information.


Services
Our prices are based on a minimum of 20 participants. The scope of the contractual services is outlined in our offer and final confirmation. All rooms are equipped with shower/bath and toilet. Half-board includes breakfast buffet and dinner (3-course menu or buffet). For ferry crossings, we calculate based on a bus length of 14 meters and reserve an appropriate bus place. Toll fees, road charges, and bridge tolls are generally not included in our offers. Flights are also not included. Short ferry crossings that are part of a catalog trip are not included in the price and package, unless explicitly stated in the catalog as included services. Most inner Norwegian ferry crossings and toll roads can be paid with AutoPASS. Hotel rooms are generally standard rooms, unless otherwise specified. Rooms with separate beds (Twin) are available upon request and may incur an additional charge. The single room supplement refers to single occupancy of hotel rooms. Single cabins are available upon request. Children up to and including 11 years old receive a 50% discount (or 10% for individuals aged 12 and above) on the base price per person/accommodation in a double room when accommodated in an extra bed in the double room or in a 3-bed cabin with two full-paying adults.


Miscellaneous (Liability, Changes in Services and Prices, Jurisdiction)
We are not liable for force majeure events or information provided by service providers. Non-essential changes to the services are generally permitted, such as replacing confirmed hotels with equivalent ones. In case unforeseeable and extraordinary circumstances require remedies or program changes before or during a trip, any additional costs incurred will be borne by the client. If changes such as hotel or ferry modifications become necessary due to route changes, hotel closures, program or supplier failures, border closures, weather conditions, technical problems, or similar circumstances, we are authorized, acting as a prudent merchant, to find the best possible solution for the client and their guests at the client's expense. We are not responsible for services or components of services organized or provided by the client in addition to our services.

Price adjustments due to increased costs by service providers, such as raw materials, fuel, or other energy sources, as well as possible tax and VAT increases, are subject to change and must be paid by the client. In case of currency exchange rate fluctuations, the travel price may be adjusted accordingly to cover the increased costs for us. In the event of a subsequent change in the price, we will promptly inform the client of the reason for the change.

The client is responsible for complying with driving and rest time regulations, travel and safety instructions, passport, customs, and weight regulations, as well as any necessary winter equipment, valid accident insurance, guarantee certificates, etc.


Errors and omissions excepted.


The invalidity of individual provisions do not affect the validity of the entire travel contract.


The place of jurisdiction for any legal disputes is DK-Aarhus.
